Booking Terms and Conditions

These Booking Terms and Conditions apply to holiday camps, after-school clubs and other activities provided by Future You Tech Academy (“Future You”, “we”, “us” or “our”).

By making a booking, the person completing the booking (“you”) confirms that they have parental responsibility for the child, or have permission from someone with parental responsibility, and agrees to these terms.

‍1. Making a booking
All bookings are subject to availability.
A place is only confirmed once:
-The booking form has been completed;
-All required information about the child has been provided;
-Full payment has been received; and
-A booking confirmation has been issued.
It is your responsibility to check that the child meets the advertised age requirements and that the dates, times, location and activity selected are correct.
Please contact us promptly if you do not receive confirmation or notice an error in your booking.

‍2. Payment
Full payment is required at the time of booking unless we have agreed otherwise in writing.
Prices will be displayed during the booking process. Any applicable discounts must be entered or requested before payment is completed. Discounts cannot normally be added retrospectively.

‍3. Cancellations by parents or carers
Cancellation requests must be sent by email to hello@futureyoutech.co.uk.
Unless different terms were clearly stated when booking, the following cancellation policy applies:
-14 or more days before the activity begins: A full refund.
-Between 7 and 13 days before the activity begins: A 50% refund.
-Fewer than 7 days before the activity begins: No refund.
The cancellation period is calculated from the scheduled start time of the first day of the booking.
Where a booking covers more than one day, no refund will be provided for individual days that a child does not attend.
Bookings for leisure activities taking place on specific dates may not have the standard 14-day cooling-off right that applies to some online purchases. This does not affect your statutory rights.

‍4. Illness
If a child is unable to attend because they are unwell, we may allow the booking to be transferred to another Future You camp or activity, provided that:
-You contact us before the original activity begins;
-A suitable alternative activity is available;
-There is space available; and
-The alternative booking is of the same or a lower value.
If the alternative activity costs more, you will be asked to pay the difference. No cash refund will be given where the alternative costs less.
Illness transfers are offered subject to availability and cannot be guaranteed. Normally, only one transfer will be permitted for each booking.
Children must not attend if they have an infectious illness or are experiencing symptoms that could place other children or staff at risk.

‍5. Failure to attend
No refund or credit will be provided if a child does not attend or arrives late, unless we agree otherwise in exceptional circumstances.

6. Enjoyment Guarantee

We want every child to enjoy their time at Future You Tech Academy. If your child attends the first day of a two-day camp and doesn’t enjoy it, you can cancel their second day and receive a refund for that day.
To use this guarantee, please email us before the second day begins. Your child must not attend the second day. The refund will be 50% of the camp fee actually paid, after any discounts, and will be returned to your original payment method within 14 days.
This guarantee applies even where our standard cancellation policy would otherwise exclude a refund. It does not affect your statutory rights.

‍7. Changes and cancellations by Future You
We may need to change an activity’s timetable, content, staff member, room or venue where reasonably necessary.
If we need to make a significant change, we will notify you as soon as reasonably possible.
We reserve the right to cancel an activity due to circumstances including insufficient bookings, staff illness, venue unavailability, unsafe conditions or events outside our reasonable control.
If we cancel an activity, we will offer:
A transfer to another suitable Future You activity; or
A refund for the activity or part of the activity that we are unable to provide.
We are not responsible for additional expenses you may incur, such as travel, accommodation or alternative childcare costs, except where the law requires otherwise.

‍8. Information about your child
You must provide complete and accurate information about your child when booking, including: Medical conditions; Allergies and dietary requirements; Medication; Additional needs; Disabilities; Emotional or behavioural support needs; Relevant access requirements; and Emergency contact details.
Please contact us if any of this information changes before the activity.
We welcome children with additional needs and will consider reasonable adjustments wherever possible.
Parents and carers should contact us before booking if a child may require additional support, one-to-one supervision or significant adjustments.
We cannot guarantee that we can provide one-to-one support unless this has been expressly agreed in advance.

‍9. Medication and medical treatment
Parents and carers must provide clear written instructions for any medication that may need to be administered during an activity.
Medication must be:
- In its original packaging;
- Clearly labelled with the child’s name;
- Within its expiry date; and
- Accompanied by the correct dosage instructions.
Where necessary, we may ask you to complete an additional medication or healthcare form.
By making a booking, you authorise Future You staff to provide appropriate first aid and, in an emergency, to contact the emergency services and arrange necessary medical treatment.
We will make reasonable efforts to contact the child’s parent, carer or emergency contact as soon as possible.

‍10. Behaviour
We want every child to feel safe, included and able to enjoy the activity.
Children are expected to:
- Treat other children, staff, venues and equipment with respect;
- Follow reasonable safety instructions;
- Use technology and online platforms responsibly;
- Avoid bullying, threatening, discriminatory or inappropriate behaviour; and
- Stay within the supervised activity areas.
We will normally work with the child and contact their parent or carer if behavioural concerns arise.
We reserve the right to ask for a child to be collected if their behaviour creates a serious or continuing risk to themselves, other children, staff or property.
Where a child is removed from an activity because of serious or persistent inappropriate behaviour, a refund will not normally be provided. Any decision will be made reasonably and after considering the circumstances, including any disclosed additional needs.

‍11. Arrival and collection
Children must be signed in and collected by the times stated in the booking information.
Children will only be released to:
- A parent or carer;
- A person authorised on the booking form; or
- Another person approved by the parent or carer in advance.
We may ask for identification or use an agreed collection password.
Please contact us immediately if you are going to be late. Repeated or significant late collection may result in an additional charge reflecting the staffing costs incurred. If we cannot contact a parent, carer or emergency contact following a significantly late collection, we will follow our safeguarding procedures.

‍12. Personal belongings and equipment
Children should only bring the items listed in the activity information.
Personal belongings are brought at the owner’s risk.
Future You cannot accept responsibility for loss of or damage to personal items unless caused by our negligence.
Children must use Future You’s equipment carefully and follow staff instructions.
Parents or carers may be asked to contribute towards the reasonable cost of repairing or replacing equipment that a child has deliberately damaged.

‍13. Food and drink
Parents and carers are responsible for providing any food and drink specified in the activity information. We may operate nut-aware sessions, but we cannot guarantee that a venue or activity will be completely free from nuts or other allergens.
All allergy and dietary information must be disclosed when booking.

‍14. Photography and video

We will only take and use photographs or videos of a child where the appropriate consent has been provided.
Photography consent is optional and will not affect a child’s ability to attend.
Parents and carers must not photograph or record other children without permission.

‍15. Technology and online safety
Children may use computers, tablets, software, online platforms or internet-connected services as part of our activities. We take reasonable steps to supervise technology use and reduce access to unsuitable content. However, no internet filtering system can guarantee that all inappropriate content will be blocked.
Children must follow staff instructions and must not attempt to access unsuitable material, interfere with equipment or systems, share personal information, or communicate inappropriately online.

‍16. Safeguarding
The safety and welfare of children are our highest priorities. All safeguarding concerns will be handled in accordance with our Safeguarding and Child Protection Policy. Information may be shared with children’s social care, the police, the Local Authority Designated Officer or another appropriate organisation where necessary to protect a child. Our safeguarding information is available through the Safeguarding link on our website.

‍17. Personal information
We collect and use personal information to manage bookings, provide activities, meet our safeguarding responsibilities and communicate with parents and carers. Information will be handled in accordance with our Privacy Policy, which is available through the footer of our website.

‍18. Liability
Nothing in these terms excludes or limits our liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence, fraud, or breach of your statutory rights. We are not responsible for loss or damage that was not reasonably foreseeable or that was caused by inaccurate or incomplete information supplied to us.

‍19. Complaints
If you have a concern or complaint, please contact us so that we can try to resolve it promptly.

‍20. Changes to these terms
We may update these terms from time to time. The terms that apply to a booking will normally be those published or supplied when the booking was made. Any change required by law or made for safeguarding reasons will take effect as necessary, but we will notify affected customers where the change is significant.

‍21. Governing law
These terms are governed by the laws of England and Wales. If you live in England or Wales, the courts of England and Wales will have jurisdiction. If you live elsewhere in the United Kingdom, you may also have rights to bring proceedings in your local courts.
